Japan trip money trouble emergency runbook 2026 — loss, freeze, theft

Card lost or stolen, ATM won't dispense, phone gone so no Apple Wallet, out of cash — the money troubles that actually happen in Japan, with the exact on-the-ground steps, on a single page. Japan's theft rate is low, but loss, malfunction, and freezes can hit anyone, so bookmark this page before you leave.

TL;DR — five numbers to memorize

  1. Wise emergency support: +44 20 3695 2776 (English, 24h)
  2. Revolut emergency support: in-app chat (24h, multilingual)
  3. Home-country credit card overseas hotline: look it up on the issuer's site before you leave
  4. Embassy (home country): for lost passport
  5. Police (Japan): 110 (emergency police number; for cash theft and loss reports)

1. Lost or stolen card (first 30 minutes)

Step 1: Freeze in the app (1 min)

Wise / Revolut:

  • App → Cards → Freeze (instant lock)
  • No phone? Wise: +44 20 3695 2776 / Revolut: log in at revolut.com

Home-country credit card:

  • Each issuer's overseas hotline (write it down before you leave)
  • Have the card number on hand too

Step 2: File a police report (if stolen)

Dial 110 and say "please connect me to an officer who speaks English". Or walk into the nearest koban (Japanese police box).

Make sure you get a loss report receipt number — you'll need it for insurance.

Step 3: Switch to your backup card

Pull your backup card out of your travel wallet and keep going.

Step 4: Get a replacement card

Wise / Revolut:

  • Issue a virtual card in the app → add to Apple Wallet
  • Physical card ships in 1-2 weeks; set it to arrive at your home address after the trip

Home-country credit card:

  • Ask the overseas hotline for international delivery (3-5 business days, extra fee)
  • Can be sent to your hotel

2. Card freeze (fraud detection)

Common freeze triggers

  • First overseas use (issuer flags it as anomalous)
  • High-volume transactions (multiple ATM withdrawals in one day)
  • Used the card with overseas use still OFF

What to do

  1. Check the freeze notification in the app
  2. In-app chat or phone — say "this is me, I'm on a trip"
  3. Unfreeze (usually 5-30 minutes)

Worth knowing: Wise and Revolut in-app chat is 24h multilingual. You can write in your own language.

Prevention

  • Some issuers let you declare overseas travel in advance
  • Run a small test transaction on day one
  • Don't do back-to-back withdrawals at the same ATM

3. ATM "card not accepted" error

Causes and fixes

Error Cause Fix
Rejected on insert Magnetic stripe unreadable Try another ATM
PIN error Wrong number 3 strikes locks it — needs unlock
Amount error Daily limit hit Wait 24h, or raise the limit
"Card is blocked" Issuer freeze Unfreeze in the app
Transaction stalls mid-flow Network glitch Check the receipt; if no debit, try another ATM

Seven Bank ATM not working

  1. Try a Lawson Bank ATM (different ATM spec)
  2. AEON Bank ATM (large stores only)
  3. SMBC / MUFG ATM (only models that accept overseas cards)

"Money debited but no cash dispensed"

Rare but real. What to do:

  1. Keep the ATM receipt
  2. Check the transaction log in the issuer app
  3. Contact issuer support within 30 minutes
  4. Contact the ATM operator (Seven Bank: 0088-21-1189)
  5. Refund usually clears in 5-10 business days

    0% FX. Mid-market rates. Saves ~¥6,000 on a $1,500 trip.

4. Lost phone → no Apple Wallet

Immediate response (first 10 minutes)

  1. Borrow someone's iPhone or a PC and log into iCloud.com
  2. Find My iPhone to locate it → turn on Lost Mode
  3. Cards in Apple Pay auto-freeze in Lost Mode
  4. Remote wipe (if nothing else important is on the device)

Recovery

  1. Apple Wallet cards can be re-added on a new iPhone (the virtual number changes)
  2. Physical cards are unaffected — keep using them
  3. Change your Apple ID password immediately

Continuing the trip without a phone

  • Pay phones (¥10/min) for emergency calls
  • Convenience store public Wi-Fi to access iCloud
  • Hotel lobby PC to log into the issuer app

→ Prevention: before you leave, share your Apple ID password with family or a friend (via a password manager)

5. Out of cash, can't exchange

Late-night arrival with no working ATMs

  • 24h convenience store ATMs (Seven, Lawson, FamilyMart) all-around dead is rare
  • Airport exchange counters close late at night — 24h is the exception

Converting home-currency cash to yen

  • Hotel front desk: mid-market -5 to -7%, emergency only
  • Japanese banks (SMBC / MUFG): -2 to -3%, weekdays 9-15 only
  • WCS (major stations): -1 to -1.5%, cheapest, limited hours

Money transfer from family or friends

  • Wise P2P transfer: arrives in minutes, FX -0.5%
  • Revolut friend transfer: free and instant between users
  • PayPal: works in a pinch but high fees

6. Lost passport and the money angle

How a lost passport hits your money

  • ATM withdrawal: occasional ID check on large amounts (rare in practice)
  • Hotel check-in: required at ryokan and rural inns (most chains are OK)
  • WCS and similar exchange: passport is mandatory (no passport, no exchange)
  • Embassy "travel document for return": ¥7,000-15,000 fee

What to do

  1. Police loss report → get the receipt number
  2. Rush to the embassy → travel document or emergency passport (1-3 days)
  3. Contact your airline → rebook the return flight

7. What travel insurance covers (money trouble)

Usually covered

  • Theft (up to ¥30,000 cash) — varies by insurer
  • Card loss / reissue fees
  • Emergency wire fees
  • Extra lodging from theft or loss

Not covered

  • Losses from a broken ATM
  • FX losses
  • "Negligent" loss (hard to prove)
  • Theft while drunk

Claim process

  1. Police loss report receipt number
  2. Call the insurer from Japan
  3. Keep every receipt and proof of purchase
  4. Submit paperwork after returning home

8. Five things to do before you leave

1. Save the important info to the cloud

  • Passport photo
  • Card numbers (CVV masked)
  • Travel insurance policy
  • Emergency contacts

→ Google Drive / iCloud / Dropbox

2. Share with family or a friend

  • Itinerary
  • Hotel
  • Emergency contacts
  • Passport number

3. Backup for two-factor auth

  • Don't rely on SMS only → pair with an authenticator app (Authy etc.)
  • Print and store the recovery codes for a lost-phone scenario

4. Split your cash across two spots

  • ¥10,000 in your wallet
  • ¥10,000 in your suitcase or the hotel safe

5. Stick an AirTag

  • Wallet, suitcase, card case — AirTag each
  • Locating a lost item gets dramatically easier

Q: My red-eye lands and I can't check in until morning — worried about cash

A: Airport Seven Bank ATMs run 24h. Withdraw ¥10,000 and take the first train (around 5:00) into the city. Crashing on an airport sofa is safe too.

Q: Traveling with kids — can I let them use my card?

A: JCB has 24h English support (+81-3-5778-8390). Most Japanese-issued credit cards are Japanese only — confirm your issuer's English support availability before you leave.
